CARGO HANDLING MANUAL
Introduction:
Airlines are responsible for their operating procedures,
even when using a 3rd party handling company. Therefore airlines and
their Cargo Handling Agent (CHAs) need a single agreed cargo handling standard
to follow to improve safety, security, quality and efficiency and reduce costs.

Data Exchange
EDI stands for Electronic Data Interchange. It is a
standard communication protocol for system-to-system integration. Companies in
a variety of industries use EDI to transmit business information
electronically. Organizations that handle large volumes of data often use EDI
to minimize data entry and share information with other systems within their
organization. If you use EDI for existing business applications, you may want
to consider using it to manage your shipment data.

Book and plan shipments
ü
Receive Shippers'
request and check Security status.
The freighter forwarder, or shipper directly, should have
established a booking. This can be done by electronic means (EDI IATA Standard
booking messages or portal, Email, Fax, or phone.
Booking is made by the shipper defining the required
collection and delivery dates.
Shipper supplies shipment details including pieces,
weight and volume.
ü
Plan the routing-Direct
or Consolidation.
Forwarder commences planning for full routing to deliver
the shipper Promise including carrier selection and related transit times,
determine final airport of destination, shipment via hub or not.
ü
Request capacity against
Forwarder or carrier inventories
Booking are made against pre-booked forwarder allocations
or directly with the carrier
The freight forwarder or shipper directly, must indicate
any special handling requirements such as:
- Appropriate
special handling codes
- Weight
or by volume as per company policies
Validate Security/Customs Status truck
Validate the integrity of the customs or security seal if
required by local legislation or carrier instruction.
Verify if shipment with a security status have also been
transported according to security regulation.
Validate the security status of the driver, and of his
company, in accordance with carrier and national requirements, include
documents such as trucker ID, shipper/forwarder database or check forms.

Acceptance of Cargo
reservation
Before accepting any booking request from customers
following points must be considered:
- Departure
station standard deadlines
- Sufficient
transit time at transit station, usually this is taken care by the system.
- Special
cargo requirements such as Storage facility at final destination.
- For
interline shipments confirmation from transit station and connecting
carrier

Cargo
reservation-content of information
Following information is mandatory to be entered in Cargo
IT system:
- Basic
shipment information
- Air
waybill number (e.g. 999-12344321)
- City
pair of origin and destination (JEDJFK)
- Total
number of pieces, total gross weight and volume (e.g. T80 KG4200 MC0.9)
- Requested
flight numbers, dates and legs (SV021 26FEB JEDICN)
- Name
of agent/shipper
- Additional
shipment information, which needs to be given if applicable
- Special
handling codes for special cargo types
- Dimensions
of each (large) piece in order to assist in load planning
- Weight
of each (heavy)piece in order to assist in load planning
- Other
relevant information
AIR WAYBILL:-
ü Accept shipments as Ready for Carriage
ü The primary objective for cargo acceptance is to ensure that
consignment are ready for Carriage in compliance with
- Carrier
requirements;
- Local
export rules and regulations
- Rules
and regulations of the transit airport and air spaces, if any;
- Import
regulations of the destination
country or station
ü Verify if shipments are security cleared
ü Documents received form a regulated Agent or form a Known
Consigner
- Verify
the person delivering the shipment represent a Regulated agent
- Verify
the identity of the person delivering the shipment by his ID or driving
license
ü Perform Ready for Carriage Checks
The Cargo Handling Agent verifies that all information is
consistent with the physical shipment, and ensures that applicable embargoes,
operational restrictions are complied with including country and carrier
specific rules
ü Document check against Actual Cargo
Verify if the pre-loading checks on data elements are
fulfilled, in accordance with current customs regulations

procedures apply.
- Dangerous
Goods
Must be
accepted in accordance with the current edition of the IATA Dangerous Goods
Regulation (DGR)
manual and national legislation
- Required
documents
1) AWB
2) IATA DGR check list in English
3) Dangerous Goods Declaration (DGD) total 04 copies in English,
4) Material safety data sheet (MSDS)
